ClearedMed, Inc. (“ClearedMed,” “we,” “us,” or “our”) operates the ClearedMed website and related services. This Privacy Policy explains how we collect, use, and protect your information when you use our services.

We are committed to protecting your privacy. We do not sell your data, and we take extra care to minimize the information we collect.

Information We Collect

Account Information

When you create an account, we collect the information you provide through our authentication provider, including your name and email address. This is used solely to manage your account and provide our services.

Newsletter

If you subscribe to our newsletter, we store your email address, when and where on the site you subscribed, and whether you're currently subscribed. If you're signed in, we link the subscription to your account. We use this only to send the newsletter. Every email includes an unsubscribe link, and deleting your account also deletes your newsletter subscription.

AME Directory Listings and Profiles

Our AME Directory is built from the FAA Designee Locator, a public record. Listings include the examiner's name, credentials, practice, office address, and phone number as published by the FAA. We also store the email address the FAA has on file for each examiner. That address is never shown publicly and is used only to send a one-time link so an examiner can verify a listing is theirs.

If an examiner claims their listing, we store what they submit for their profile: a photo, a short bio, a website address, and the conditions they say they commonly see. That information is displayed publicly and is labeled as provided by the examiner. Photos are resized before storage, and the embedded metadata in the uploaded file — including any GPS location recorded by a phone camera — is stripped and never stored. The verified email address associated with a profile is kept private and is used only to contact the examiner about their profile.

Examiners may ask us to correct or remove their profile at any time, and we remove it along with the uploaded photo. Removing a profile does not remove the underlying FAA listing, which comes from the public FAA record.

Usage Data

We use Microsoft Clarity to understand how visitors use ClearedMed. Clarity records how you interact with pages, such as clicks, scrolling, and mouse movement, and uses that to produce heatmaps and session recordings. It uses cookies to do this. We use this information only to find and fix problems and improve our tools, never for advertising. The Medication Checker search and the MedXPress prep form are masked, so their contents are not captured in recordings.

Data Security

We implement industry-standard security measures to protect your information. All data is transmitted over encrypted connections (HTTPS/TLS). Access to user data is restricted to essential personnel only. While no method of transmission or storage is 100% secure, we strive to protect your personal information to the best of our ability.

Third-Party Services

We use a limited number of trusted third-party services to operate ClearedMed:

• Clerk — Provides user authentication and account management. Clerk processes your login credentials and basic profile information. See Clerk's Privacy Policy.
• Neon — Provides our database infrastructure. Application data is stored on Neon's secure, encrypted PostgreSQL platform. See Neon's Privacy Policy.
• Resend — Sends our emails, including newsletter and account emails. Resend processes the email addresses we send to. See Resend's Privacy Policy.
• Vercel — Hosts ClearedMed and stores images uploaded for AME directory profiles (Vercel Blob). Profile photos are served publicly from Vercel's storage. See Vercel's Privacy Policy.
• Microsoft Clarity — Provides usage analytics, heatmaps, and session recordings that help us improve the site. Clarity uses cookies and collects information about how you interact with our pages. See Microsoft's Privacy Statement.

We do not share your data with advertising networks or data brokers, and we do not use analytics for advertising.

Cookies

We use essential cookies required for authentication and basic site functionality, and Microsoft Clarity uses cookies to measure how visitors use the site. We do not use advertising cookies.

Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and associated data
• Opt out of non-essential communications
• Export your data in a portable format

Aviation Medical Examiners: you can ask us to correct or remove your enhanced profile, or to stop contacting the address the FAA has on file for you, by emailing support@clearedmed.com. Directory listings themselves come from the public FAA Designee Locator; corrections to the underlying FAA record must be made with the FAA, though we will remove or correct a listing on request.
